Privacy Policy#
Last Updated: September 20, 2026
This Privacy Policy explains how 0Resmon (“0Resmon”, “we”, “us”, or “our”) collects, uses, stores, and protects information when you use our documentation website, AI-powered documentation assistant, and related services, including docs.0resmon.org and associated 0Resmon documentation services.
By using these services, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect#
1.1 Questions and AI Assistant Interactions#
When you submit a question through the 0Resmon documentation website or our Discord-based documentation assistant, we may store limited information about the interaction.
Our query logs may include:
- The first 500 characters of your question;
- The first 300 characters of the generated answer;
- A pseudonymized representation of your IP address;
- The source of the request, such as the website or Discord;
- The detected 0Resmon product related to the question;
- Information about how the question was answered;
- Response processing time; and
- The date and time of the request.
These records are primarily used to operate, maintain, troubleshoot, secure, and improve the documentation assistant.
1.2 IP Address Processing#
Our server may process your IP address when handling a request.
We do not intentionally store the raw IP address in our permanent query logs. Instead, the IP address is processed using a cryptographic hashing function, and only a shortened hash derived from the IP address is stored.
Because IP addresses have a limited possible range and the resulting value may potentially be associated with or derived from an individual IP address, we do not treat this information as fully anonymous data. It is treated as pseudonymized technical information.
1.3 Temporary Question and Answer Cache#
To improve performance and avoid unnecessarily processing identical or substantially similar questions multiple times, we maintain a temporary question-and-answer cache.
The cache may contain:
- The submitted question;
- A normalized version of the question;
- The generated answer;
- Documentation sources associated with the answer; and
- Technical embedding data used for similarity matching.
The cache does not intentionally contain a separate user identifier.
Cached entries are automatically scheduled for deletion after approximately 7 days.
However, if you voluntarily include personal information in a question, that information may temporarily appear in the cached content.
1.4 Documentation Content#
Our systems also store and process documentation relating to 0Resmon products, including content obtained from our documentation platform.
This content generally consists of product documentation and is not intended to contain customer personal information.
2. Information You Should Not Submit#
The 0Resmon documentation assistant is intended for questions about our products, installation procedures, configuration, troubleshooting, and related technical topics.
Please do not submit sensitive or unnecessary personal information through the assistant.
In particular, you should avoid submitting:
- Passwords;
- API keys or authentication tokens;
- Payment card information;
- Government-issued identification numbers;
- Private database credentials;
- Confidential server credentials;
- Sensitive personal information; or
- Personal information about another person that is not necessary for your support request.
If personal information is included in a question, it may be processed and stored as described in this Privacy Policy.
3. How We Use Information#
We may use collected information to:
- Provide answers to documentation and technical support questions;
- Operate the 0Resmon documentation assistant;
- Improve the quality and relevance of responses;
- Identify which products users are asking about;
- Diagnose errors and technical problems;
- Measure response performance;
- Detect abuse or misuse of our services;
- Maintain the security and reliability of our systems;
- Improve our documentation and support experience; and
- Comply with applicable legal obligations.
We do not use documentation assistant queries for unrelated advertising purposes.
4. AI Processing and Third-Party Service Providers#
Some features of the 0Resmon documentation assistant rely on third-party infrastructure and artificial intelligence service providers.
Information submitted to the assistant may therefore be transmitted to and processed by service providers used to generate embeddings, search documentation, generate responses, host infrastructure, provide network services, or otherwise operate the service.
These providers may include cloud infrastructure, AI model, documentation hosting, content delivery, and security providers.
Where applicable, these providers process information according to their own contractual and privacy obligations.
Information may be processed in countries other than the country in which you are located.
5. Data Retention#
Different categories of information are retained for different periods.
Query Logs#
Query logs containing question excerpts, answer excerpts, pseudonymized IP information, request source, product information, performance information, and timestamps are currently retained as operational records.
At present, these records do not have an automatic expiration period and may remain stored until they are manually deleted or until a retention policy is applied.
We may delete or anonymize these records when they are no longer reasonably necessary for the purposes described in this Privacy Policy.
Temporary AI Cache#
Question-and-answer cache entries are automatically scheduled for deletion approximately 7 days after creation.
Documentation#
Product documentation may be retained for as long as necessary to operate and maintain our documentation services.
6. Data Security#
We use reasonable technical and organizational measures designed to protect information processed through our services.
These measures include pseudonymization of IP addresses stored in query logs and limiting the amount of question and answer content retained in those logs.
However, no internet-based service, storage system, or security measure can guarantee absolute security.
You are responsible for avoiding the submission of passwords, authentication credentials, API keys, or other sensitive information through the documentation assistant.
7. Legal Basis for Processing#
Where applicable data protection laws require a legal basis for processing personal information, we process information where necessary for purposes such as:
- Providing and operating the service requested by the user;
- Maintaining the security and reliability of our systems;
- Troubleshooting and improving our services;
- Protecting our legitimate business interests where those interests do not override the rights and freedoms of users;
- Complying with legal obligations; or
- Obtaining consent where consent is required by applicable law.
The specific legal basis may depend on your location and the circumstances in which information is processed.
8. International Data Transfers#
0Resmon operates online services that may rely on infrastructure and service providers located in different countries.
As a result, information processed through our services may be transferred to or processed in jurisdictions outside your country of residence.
Where required by applicable law, we take appropriate measures regarding international transfers of personal information.
9. Your Privacy Rights#
Depending on your country or region, you may have rights concerning your personal information, including the right to:
- Request information about whether your personal information is being processed;
- Request access to certain personal information;
- Request correction of inaccurate or incomplete information;
- Request deletion of personal information where applicable;
- Object to or request restriction of certain processing;
- Withdraw consent where processing is based on consent; and
- Exercise other rights provided under applicable data protection laws.
Because some technical information is stored in pseudonymized form rather than directly associated with an account or identifiable user profile, we may need additional information to reasonably verify and locate data related to a request.
We will process valid privacy requests in accordance with applicable law.
10. Children's Privacy#
The 0Resmon documentation services are intended for users seeking information about our software products and are not specifically directed toward children.
We do not knowingly design the documentation assistant for the collection of personal information from children.
If you believe that a child has provided personal information through our services, please contact us.
11. Cookies and Similar Technologies#
Our documentation website and third-party infrastructure providers may use cookies or similar technologies that are necessary for security, functionality, performance, or other website operations.
Where required by applicable law, non-essential cookies or similar technologies will be used subject to the appropriate notice or consent mechanism.
Additional information about cookies may be provided through a separate Cookie Policy or cookie notice.
12. Third-Party Services#
Our documentation services may contain links to third-party websites or integrate services operated by third parties.
This Privacy Policy applies only to information processed by 0Resmon.
Third-party websites and services are governed by their own privacy policies and practices, and we encourage you to review those policies when using those services.
13. Changes to This Privacy Policy#
We may update this Privacy Policy from time to time to reflect changes to our services, infrastructure, legal requirements, or data processing practices.
When we make changes, we will update the “Last Updated” date at the top of this page.
Material changes may also be communicated through the documentation website or another appropriate method.
